How NIW Action handles the account, case, document, AI-workflow, payment, and analytics information used by TurboBe.

This Policy explains how NIW Action, operator of TurboBe, collects, uses, shares, and retains personal information when you visit turbobe.com or use our NIW self-service software. It covers public pages, temporary resume previews, registered accounts, case workspaces, support, and purchases. It does not cover third-party websites or services that have their own policies.

1. Who is responsible

NIW Action operates TurboBe. For privacy questions and requests, email [email protected] or write to NIW Action, 2732 Peachwood Ct, CA 95132, United States. Please do not send sensitive case documents in an initial email; we may ask you to verify your identity and use a safer channel.

2. Information we collect

The information depends on which features you use. It may include:

  • Account and contact data: username, email address, password credentials, invite-code redemption records, messages to support, and account preferences.
  • Case and professional data: resumes, education and employment history, projects, publications, achievements, proposed endeavors, strategy choices, evidence descriptions, uploaded files, and data extracted from them.
  • Immigration and personal data: eligibility answers, citizenship or nationality, immigration history, identity and contact details, and—if you use Filing Forms—birth date, passport, A-number, I-94, status, address, and family-related details entered into forms.
  • Collaborator and third-party data: recommender names, contact information, roles, relationships, letters, and information about other people contained in evidence or documents.
  • Workspace activity: drafts, edits, comments, chat prompts and answers, review results, saved decisions, downloads, and feature-use events.
  • Billing data: order, product, price, discount, entitlement, payment status, and transaction references. Card information entered on Square's hosted checkout is handled under Square's own processes; we receive payment and order information needed to fulfill and reconcile a purchase.
  • Technical and measurement data: IP address, browser and device details, user-agent, referral page, pages visited, timestamps, session and CSRF identifiers, analytics identifiers, and diagnostic or security logs.

3. Where information comes from

We receive information directly from you when you register, answer questions, upload files, draft, chat, purchase, or contact us. We also generate derived data such as extracted resume fields, case summaries, scores, recommendations, draft versions, and usage records. Browsers and analytics tools provide technical data automatically. Payment status comes from Square, and public-source search or retrieval can add external source material to a case workflow.

Starting an anonymous resume preview creates or reuses a temporary account, session, and case before you register. The preview may record the page path, referrer, and browser user-agent. If you later claim the account, the existing case may be linked to your registered identity.

4. Why we use information

We use information to provide and personalize self-evaluation and case tools; import and organize resumes and evidence; generate, retrieve, review, and export drafts and filing-form materials; authenticate users and protect accounts; process orders and grant purchased credits; respond to support and privacy requests; diagnose errors, measure site performance, and improve the product; and comply with law or protect the service against abuse.

Some fields, including immigration and family details, can be sensitive. Please supply only information relevant to the feature you choose. We do not use a legal classification label to imply that all such data is required.

5. AI, search, and observability providers

For features that use AI, we may send relevant resumes, extracted facts, prompts, case context, evidence, and document text to configured model, embedding, and retrieval providers to perform the requested task. External search queries may include professional topics, project or organization names, goals, or evidence titles needed to find public sources. Do not assume every AI or search request is anonymous.

We also use workflow tracing and error monitoring. Traces can include user questions, model outputs, extracted personal and professional details, instructions, and status metadata. We use these records to operate and improve reliability, but we cannot describe every trace as metadata-only.

The dedicated Filing Forms workspace is designed to keep its form-field and generated bundle data out of the general AI and retrieval workflows. Information from other case workspaces, even if it overlaps with a form field, may still be processed by AI as described above. Provider identity, location, and retention can vary with our deployment and provider configuration.

6. When we disclose information

We share information with service providers only as needed for the uses above, such as hosting and storage, database infrastructure, AI model and embedding services, public-source retrieval, workflow tracing, analytics, email or support delivery, and payment processing. Square processes hosted checkout, while we retain order and payment-status records. Google Analytics measures site usage. These providers may process information in the United States or other countries under their own service terms and our applicable arrangements.

We may also disclose information when required by law, to protect rights and security, in connection with a corporate transaction, or at your direction. We do not publish your private case file as part of the Resource Center. We do not claim that service providers never receive case data.

7. Cookies and browser storage

TurboBe uses session and CSRF cookies for sign-in and request protection. The site also loads Google Analytics, which may use cookies or similar identifiers to measure visits and interactions. Google Fonts may receive ordinary browser request information when fonts load. Your browser may store preferences and, in some document-review flows, original and suggested text, comments, and review decisions in local storage on your device.

You can manage or clear cookies and local storage in your browser, although some features may stop working. Browser Do Not Track signals are not currently used to change our data-collection behavior; third-party analytics may continue to operate. If we introduce a consent or preference control, this Policy will describe it.

8. How long information is kept

We retain information for as long as reasonably needed to provide the service, maintain account and order records, investigate security or billing issues, meet legal obligations, and resolve disputes. Different categories—temporary previews, account files, deleted items, AI traces, transaction records, backups, and browser storage—can have different retention periods. We have not set a single universal deletion window; deletion from an active workspace may not immediately remove backups, audit records, provider records, or information stored in your browser.

In the current Filing Forms workflow, data remains in the workspace until a user deletes it through the available control or makes an applicable request; related audit events may remain. We will assess deletion requests against legal and technical requirements and explain material limitations in our response.

9. Security

We use account access controls, owner-scoped case access, session protections, and operational safeguards intended to protect information. The Filing Forms module separately encrypts its stored form fields and generated bundles. No internet service or storage system can guarantee absolute security. Please protect your account credentials and contact us if you believe your information has been exposed.

10. Your choices and privacy requests

You may review and update information through available account and case controls. You can ask us to access, correct, delete, or provide a copy of personal information by emailing [email protected]. We may need to verify your identity and can limit a request where law permits or requires retention. Archiving a case is not the same as deleting it, and feature-level exports are not necessarily a full account export.

Residents of certain jurisdictions may have additional rights, such as objection, restriction, portability, withdrawal of consent, or appeal, depending on the law that applies. If California's consumer privacy law applies to NIW Action and to your information, we will honor its applicable access, deletion, correction, and opt-out rights. You may also contact your local privacy regulator where the law gives that right. We do not require you to waive nonwaivable privacy rights to use the service.

11. International use and transfers

TurboBe can be accessed from the United States and other countries. Information may be processed in the United States and in other locations where our service providers operate. Privacy protections may differ from those in your location. Depending on your location, local law may provide additional transfer safeguards or rights. Contact us for details about arrangements relevant to your information.

12. Children

TurboBe is intended for adults aged 18 or older and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to us, email [email protected] so we can investigate and take appropriate steps.

13. Policy changes and contact

We may revise this Policy as our features, vendors, or legal obligations change. We will update the effective date and provide additional notice for material changes when required by law.
